What Is Large Language Model (LLM)?

A large language model (LLM) is a type of artificial intelligence trained on enormous amounts of text data, books, websites, articles, and more, to understand and generate human language. LLMs power most of the widely known AI tools of the past few years, including ChatGPT, Claude, and Google Gemini. They are the engine behind AI that can read a document and summarize it, answer questions in natural language, draft an email in a specific style, or classify text by meaning rather than just keywords.

For small business owners, the important thing to understand about LLMs is not how they work under the hood, but what they can do: they can read, write, and reason with text at a level that makes many previously labor-intensive tasks automatable. Document review, email drafting, content generation, Q&A over your company knowledge base, these are all applications that LLMs make practical at a small business budget.

How Large Language Model (LLM) Works in Practice

When you send text to an LLM, the model processes it and generates a response based on patterns it learned during training. Practical small business applications typically pair LLMs with a knowledge base specific to the business (called retrieval-augmented generation, or RAG), so the AI answers questions about your specific policies, products, and processes, not just general knowledge. This is what allows a property management chatbot to cite the actual CC&R when answering a homeowner question.
