Document Classification

AI that identifies the type of uploaded documents and routes them to the right place without manual sorting.

What Is Document Classification?

Document classification is the process of using AI to look at an uploaded document and determine what kind of document it is (an invoice, a signed contract, a tax form, an insurance certificate, a bank statement) and then route it to the correct folder, system, or person automatically. Without this, someone on your team reads each document and decides where it goes. With it, that decision happens in under a second.

Modern document classification goes beyond simple file-name recognition. The AI reads the actual content of the document, identifies key fields (vendor name, date, total amount, client signature), and can extract those values while filing it. A CPA firm that receives 200 client documents during tax season can have every one categorized, named, and placed in the right client folder within minutes of upload, without a staff member touching them.

How Document Classification Works in Practice

You set up a document intake point, an email inbox, a shared drive upload folder, or a client portal. When a new document arrives, the AI reads it, identifies its type, extracts key data (vendor, date, dollar amount, client name), and routes it to the right destination. It can also flag documents that do not match known categories for human review. Most implementations handle 15 to 20 document types and reach accuracy rates above 95% after a short training period on your specific document types.

Document Classification in Small Business

CPA & Accounting

A tax firm receives W-2s, 1099s, mortgage statements, and charitable receipts from dozens of clients during January and February. Document classification AI sorts every upload into the correct client folder by document type, saving the admin team 3โ€“4 hours per day at the busiest time of year.

Law Firms

A real estate law firm classifies incoming documents, deeds, title commitments, inspection reports, HOA disclosures, and routes each to the correct matter folder automatically, cutting file management time by 80%.

Property Management

An HOA management company uses document classification to sort incoming invoices by vendor category (landscaping, maintenance, utilities) and route each to the correct approval workflow, eliminating manual invoice triage entirely.

Plumbing & HVAC

A mid-sized HVAC company classifies incoming vendor invoices, equipment warranties, and service contracts automatically, keeping the office manager focused on accounts payable instead of paper sorting.
